When you book a free 15-minute consultation through our booking system (Calendly), we collect the following information:

  • Our clinicians can prepare appropriately for your consultation
  • We can route your enquiry to the right clinician or assessment pathway

Calendly LLC (booking system)

Calendly is a US-based company. When you book a consultation, your details are processed by Calendly on our behalf. WriteUpp (clinical records)

WriteUpp stores data on Microsoft Azure servers located in Dublin, Ireland. No international data transfer is involved.

Google LLC (analytics, advertising, and document storage)

Google services including Google Analytics, Google Ads, and Google Drive may store and process data outside the UK. Google uses Standard Contractual Clauses (UK Controller-to-Processor) to ensure appropriate safeguards are in place. For more information, see Google’s privacy policy at policies.google.com/privacy.

Meta Platforms Ireland Ltd (advertising)

We use the Meta Pixel to measure the effectiveness of our Facebook and Instagram advertising. This may involve data being processed by Meta in the US. We retain personal information for the following periods:

  • Adult client records: 8 years after the conclusion of treatment, in line with HCPC guidance
  • Children’s records: until the individual’s 25th birthday, or their 26th birthday if they were 17 at the conclusion of treatment, in line with HCPC guidance
  • Enquiries and bookings that do not result in a clinical relationship: securely deleted after 6 months
  • Email enquiries that do not result in a clinical relationship: securely deleted after 6 months

After these periods, your information is securely deleted or anonymised.

Under UK GDPR, you have the following rights regarding your personal information:

  • The right to access — you can request a copy of the personal information we hold about you
  • The right to rectification — you can ask us to correct any inaccurate information
  • The right to erasure — you can ask us to delete your information, subject to any legal obligations we have to retain it
  • The right to restrict processing — you can ask us to limit how we use your information
